Description The Office Administrator works in a support role to the Plant Manager, Corporate HR Manager, Shipping Coordinator, Executive VP, as well as other company and corporate colleagues. The successful Office Administrator is an energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. Well-organized, flexible, and enjoys the administrative challenges of supporting an organization of diverse people. Essential Duties and Responsibilities The essential functions include, but are not limited to the following: · Answers and directs telephone calls · Acts as back up to Shipping Coordinator as needed · Works with entire staff to ensure we are meeting and exceeding safety initiatives · Safety trains new employees · Completes safety walkthroughs and assures all forklift checklists are completed · Organizes LOTO work orders and toolbox talks · Processes and distributes incoming mail · Accurately enters all accounts payable invoices into company accounting software · Responsible for scanning and sending paid invoices · Responsible for entering basic accounting entries in AP module · Track all wood chip purchases and create an invoice for payables · Help with local HR duties by getting necessary paperwork, sending documents to HR manager, answering any questions from employees & maintains employee files · Tracks employee boot and safety glasses reimbursements & other employee benefits in Paylocity · Setup pre-employment and random drug screens · Receives Daily Product Purchase Orders and Processes · Generate Production & Sales Reports and all Shipping related reports as needed · Receives daily product inventory levels and adjusts inventories reports · Coordinates daily with the Production Manager, Corporate Shipping Coordinator and the Plant Shipper Requirements Minimum Qualifications (Knowledge, Skills, and Abilities) · High School Diploma required · Proficient in MS Office; particularly Excel and Word · Proficient use of email and internet · Accurate keyboard skills · Knowledge of office administration procedures · Excellent oral and written communication skills Key Competencies: · Organization · Knowledge of safety programs/able to train team members efficiently · Excellent oral and written communication skills · Proficient time management · Dependability · Attention to detail with a high level of accuracy · Ability to multi-task and prioritize · High level of discretion and judgment · Competent math skills · Initiative · Contribute to a team effort by working with other team members throughout the multi-company organization Physical Demands and Work Environment The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position.
