Description Hummingbird ABA Therapy is seeking a full-time Office and Technology Assistant to support front desk operations, administrative tasks, client and staff communication, and day-to-day technology needs. This role is a great fit for someone who is organized, professional, comfortable with technology, and able to support a busy clinical environment. KEY RESPONSIBILITIES Front Desk and Client Support Staff the front desk and greet clients, families, employees, and visitors in a professional and welcoming manner. Monitor building security and door access to ensure only authorized individuals enter the building. Check clients in and out and notify staff of client arrivals and departures. Answer phones, take messages, direct calls, and support day-to-day communication needs. Assist with transitions of clients and staff in and out of the center. Administrative Support Maintain the cleanliness and organization of the front desk, lobby, and shared administrative spaces. Prepare staff onboarding materials. Scan, file, and organize documents in both physical and digital formats. Support communication around daily coverage needs in collaboration with the Scheduling Coordinator. Assist with data entry, document preparation, onboarding support, records management, and coordination with internal team members. Support internal communication platforms, scheduling tools, and documentation systems. Technology Coordination and Support Set up and configure new devices, including phones, tablets, laptops, and printers for staff. Manage and troubleshoot technology issues related to: Wi-Fi and internet connectivity, including coordination with Comcast Company mobile devices using Verizon Mobile Device Management and Samsung Knox, RingCentral, and VOIP system setup and support Printer and copier errors, driver updates, and basic maintenance Assist with the setup and configuration of small office servers or shared storage. Provide ongoing in-person and remote technology support for staff. Develop and maintain a basic tech support ticketing system or workflow tracker. Maintain up-to-date documentation of logins, device inventory, and access permissions. Provide remote technology assistance on Thursdays and respond to priority requests as needed. Team Communication and Confidentiality Communicate clearly and respectfully with team members, families, and vendors. Coordinate with administrative and clinical leadership to resolve operational or technical concerns. Contribute to a positive, inclusive, and neurodivergent-affirming workplace culture. Uphold client confidentiality and maintain compliance with HIPAA and internal policies.
