SUMMARY:

The Office Assistant will provide administrative support to the maintenance and construction teams, assist in the creation, tracking, and filing of work orders, and help manage vendor coordination, maintenance schedules, and procurement processes. This role requires a high level of organization, attention to detail, and communication skills to support both internal teams and external vendors.

QUALIFICATIONS:

  • A college degree or higher education is preferred.
  • Language Skills: Fluent in English; proficiency in Chinese is a plus.
  • Proficient in using office software (Microsoft Office Suite, Google Workspace, etc.)..
  • Excellent communication and interpersonal skills, both written and verbal.
  • Attention to detail, organization, and ability to multitask in a fast-paced environment.
  • Authorized to work in the United States without sponsorship.

PHYSICAL REQUIREMENTS:

  • Prolonged periods sitting at a desk and working on a computer.
  • This job may require standing or walking for extended periods of time, lifting up to 50 pounds, and performing repetitive motions.
Responsibilities
  • Collecting the maintenance request from stores and other facilities, assisting with the creation, tracking, and filing of work orders. This may involve using a system to record requests, assign tasks, and monitor progress.
  • Maintaining accurate records for maintenance activities, including equipment maintenance schedules, repair logs, and inventory of supplies.
  • Acting as a point of contact for maintenance requests, coordinating with vendors, and communicating with other departments or clients.
  • Monitor, order, and track parts and equipments for construction/maintenance projects.
  • Assisting with the processing of invoices, tracking expenses, and potentially.
