We are seeking an Office Assistant to join our team on a part-time basis, ideally working Tuesdays - Thursdays.

OFFICE ASSISTANT REQUIREMENTS

  • Strong relationship skills to maintain relationships with both internal and external parties.
  • Effective communication, both verbally and written.
  • Good decision-making skills in order to arrive at a course of action in a timely manner which provides a clear direction and moves the organisation forward.
  • Be a problem solver - able to spot more efficient or cost effective ways of working and implement them independently.
  • A professional attitude and outlook to the role in order to influence and command respect.
  • High standards of conduct to represent and advocate for Armadillo
Responsibilities
  • Maintain a high standard of tidiness and cleanliness of the office and all meeting rooms.
  • Check furniture and appliances are in full working order - organise repairs, stock taking, and ordering office supplies.
  • Be the point of contact for supplier relationships including cleaning and any other facilities related suppliers.
  • Keep kitchen area clean, loading and unloading dishwashers and restocking our drinks fridge.
  • Unpack weekly food shop and amazon deliveries.
  • Be the contact point for staff for reporting office related matters.
  • Book meetings and meeting rooms, keep meeting rooms tidy, and organise travel arrangements where required for on-site client meetings, including hosting.
  • Maintain relationships with the building management, attend the quarterly tenancy meetings and take forward any actions, reporting to our MD & HR team any necessary developments.
  • Support with office risk assessments, helping to manage and identify any new risks and keep the risk assessment up to date.
  • Assist in rolling out yearly workstation risk assessments for the office, as well as checking employee workstation assessments at home.
  • Support in keeping Armadillo’s H&S policy up to date with regular reviews.
  • Ensure Armadillo has the appropriate number of First Aiders and Fire Marshalls at all times as per the H&S Executive guidelines, as well as Mental Health First Aiders.
    Our hybrid policy sees us in the office Tuesday, Wednesday and Thursday, so we are ideally looking for someone part-time to work on those 3 days per week.
