JOB SUMMARY

Under general supervision, provides clerical support to the faculty and staff of the department of Physics and Astronomy.

KNOWLEDGE SKILLS AND ABILITIES

Must be able to draft a correspondence, edit English grammar, spelling and punctuation, and proofread. Employee is responsible for complex and diverse clerical functions. Requires good organization skills, the ability to set priorities and the ability to work independently. Employee is situated in a heavily trafficked area. Basic understanding of computers. Employee assists in entering/editing information on campus-wide CMS information software and works with Word, Excel, PowerPoint, and Publisher files. Must be able to work with and keep up to date the shared drive.
Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student, and assist in achieving the university’s commitment to a “vision of excellence.”

EDUCATION AND EXPERIENCE

  • Equivalent to three years of administrative support experience required.

PHYSICAL SUMMARY

Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).

Responsibilities
  • Receives visitors (student/faculty/staff/guest) and responds to incoming telephone calls and e-mails; answers question, directs visitors to departments, and provides general information regarding Department policies and procedures.
  • Provides general operation support to the Department Office. Assists the graduate and undergraduate advisor for preparing forms and maintains the graduate students’ folders.
