Description

We are a busy and welcoming multidisciplinary wellness clinic looking for a part-time office assistant to manage front desk operations and support of multidisciplinary care team.
The office assistant oversees the daily operations of a multidisciplinary wellness clinic and ensures a smooth patient flow by providing administrative and clinical support to multiple practitioners including Chiropractic, Massage Therapy, Naturopathy & Osteopathy. The role includes scheduling appointments, managing patient records, processing insurance claims and assisting practitioners with patient education and light modalities under direct supervision(no licensure required) and ensuring a positive patient experience.
Primary Responsibilities:
Answering phones, emails and managing calls.
Scheduling appointments for new and existing patients.
Managing patient records and files.
Processing payments and insurance claims.
Managing office finances with the bookkeeper.
Practitioner bi-monthly payroll.
Preparing correspondence and reports as required or proactively.
Ordering and maintaining office supplies.
Overseeing building maintenance & laundry.
Maintaining a clean and organized reception area and treatment rooms.
Liaise with suppliers & contacts in a professional manner.
Ensuring the clinic adheres to all relevant regulations and privacy laws.
Maintaining or suggesting improved office procedures for best in class patient & staff experiences.

SKILLS AND QUALIFICATIONS:

Strong communication and interpersonal skills when interacting with patients and other staff.
Organizational and time management skills in order to manage multiple tasks and prioritize effectively.
Attention to detail for accurate record-keeping and billing.
Proficiency in using computer systems and software for scheduling, billing, and record management. Knowledge of JANE system a bonus.
Ability to identify and resolve issues efficiently and professionally.
Knowledge of basic anatomy or experience in a healthcare setting is preferred.
Ability to work independently and as part of a team.
Job Type: Part-time
Pay: From $22.00 per hour
Expected hours: No less than 25 per week
