OVERVIEW

We are seeking a detail-oriented and proactive Office Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office environment. This position requires strong organizational skills, excellent communication abilities, and a commitment to providing exceptional customer service. As an Office Assistant, you will be responsible for various administrative tasks that support the daily functions of our organization. Working hours would be 10am to 2pm
Monday to Friday.

SKILLS

  • Proficiency in Xero is highly desirable.
  • Experience in front desk operations and managing multi-line phone systems is preferred.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent computer skills, including familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Previous office experience or clerical experience is beneficial for this role.
  • Strong customer service skills with a focus on providing support to clients and colleagues alike.
  • Demonstrated administrative experience including calendar management and data entry proficiency.
  • Attention to detail in proofreading documents and maintaining accurate records is essential.

Responsibilities
  • Answer and manage calls using a multi-line phone system, demonstrating excellent phone etiquette.
  • Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
  • Assist with filing and organizing documents to ensure easy retrieval and compliance with office management standards.
  • Utilize Xero for basic bookkeeping and invoice entry
  • Provide customer support by addressing inquiries and resolving issues promptly.
  • Collaborate with team members to enhance office efficiency and workflow processes.
  • Utilize Google Workspace and Microsoft Office tools for various tasks including document creation and spreadsheet management.
  • Organize delivery of products and deal with and any logistical issues arising failed deliveries
