We’re looking for a detail-oriented and proactive Office Assistant (Mini Job 5 – 7 hours/week at 13.90 EUR per hour) to support the local office operations and the Employee Experience (EX) team in our Munich location.
This role is ideal for someone who enjoys creating order, maintaining a clean and functional workspace, and coordinating small but meaningful experiences for team members and visitors. You’ll be the go-to person every Wednesday onsite to ensure the office is running smoothly and can handle remote administrative tasks flexibly during the week.We value a service mindset, good communication, and someone who takes pride in supporting others behind the scenes.
As Office Assistant, you will support the smooth operation of our office in Munich through a variety of onsite and remote tasks, ensuring that our physical space is always clean, welcoming, and well-organized. You will assist with supply orders, visitor preparation, internal events, paperwork organization, and EX-related initiatives, collaborating closely with the Site Leader and global Employee Experience team.

Responsibilities
  • Be present onsite every Wednesday, for 3-4 hours, to ensure the office environment is clean, functional, and inviting;
  • Manage grocery and office supply orders (Rewe), including inventory checks and online order placement;
  • Support the setup and coordination of Lunch & Learns, Town Halls, and office-based events;
  • Partner with the Site Leader and EX Team to assist with events like SLT visits, Global Day of Service, and local office celebrations;
  • Welcome and support in-office guests and customers, ensuring they have a positive experience;
  • Keep the coffee machine, fridge, plants, and terrace area clean and well-maintained;
  • Assist in organizing paperwork such as invoices or HR-related documents for proper digital or physical filing;
  • Help maintain the EMEA Confluence space with relevant updates;
  • Revamp or identify new partnerships for AppCares social responsibility initiatives;
  • Administrative and tier 1 support to employees in EMEA (manage inbound employee inquiries such as employment verifications, PTO/Privilege leave questions, benefits and more.
