LOCATION The Hazelwood Center, 1800 Old Bluegrass Ave., Louisville KY 40215 POSITION TYPE/EXPECTED HOURS OF WORK This is a full-time position, days and hours of work are typically Monday through Friday, 8:00 a.m. to 4:30 p.m. Occasional flex hours, evening and/or weekend work may be required. REQUIRED EDUCATION AND EXPERIENCE * High School degree or equivalent * Three years of experience in an office environment * Experience working with Microsoft Office applications * Experience in Scheduling  ESSENTIAL FUNCTIONS Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. * Coordinate collection of documentation such as time sheets, leave slips and other department paperwork.  * Perform routine audits of ILP documentation. * Must have Intermediate Microsoft suite skill set to include the use of, Outlook, Excel, Word, Powerpoint, Teams.  * Must be able to create and manage excel spreadsheets.  * Ensuring accuracy of data entered into system.  * Must have ability to work independently with detail to time sensitivity/ time management.  * Coordinate vehicle use schedule with multiple departments regarding client outings and appointment schedule, dispatching drivers where needed to meet facility needs.  * Using tools such as the Internet to plan and route/dispatch vehicle trips in accordance with facility/ client needs.  * Train and assist staff with computer usage. * Open, read, route, and distribute incoming mail or other materials and answer routine letters. * Prepare routine monthly reports and correspondences. * Maintain filing systems. * Schedule and record meeting minutes for department related meetings. * Responsible to ensure that the check-out / In system for vehicles is adhered too. * Audit check out system to ensure vans are ready for next day outings, clean and fueled. * Performing Office/ Department support work of an administrative nature.  * Learn and follow all policies and procedures. * ---------------------------------------- While we welcome all to apply, there are some position specific background stipulations that must be met to comply with various regulatory and contractual requirements.
