Your Responsibilities
- Patient Interaction: Greet patients warmly in person and virtually, answer phones, and process payments with professionalism and care.
- Coordination & Communication: Manage patient care plans and ensure smooth communication between patients and healthcare providers.
- Clinic Operations: Maintain a safe, welcoming, and clean environment; oversee inventory and apothecary supply management; coordinate maintenance needs.
- Digital Competency: Confidently manage our digital and paperless systems, keeping impeccable records and patient data.
- Team Collaboration: Support your colleagues by managing patient/team messages, contributing to scoreboard metrics, sending SMS for waitlist and marketing purposes, and assisting with clinic media tasks.
- Technology Savvy: Use project management tools like Asana, productivity tools like Google/Microsoft Office suites, and patient communication platforms like DemandHub.
Must-Have Qualifications
- Post-graduate diploma in Medical Office Administration or related field (or equivalent experience).
- Strong computer literacy with productivity tools (Google/Microsoft Office) and project management software (e.g., Asana).
- Excellent written/verbal communication, organizational, and problem-solving skills.
- Ability to multitask, prioritize, and thrive in a fast-paced clinic.
- Strong interpersonal skills with a patient-first approach.
- Flexibility to work days, evenings, and weekends.
- Self-motivated, punctual, professional, and reliable.
- Current CPR certification.
Nice-to-Have Skills
- Experience with Electronic Health Records (EHRs), especially Jane.
- Familiarity with eCommerce platforms, online product ordering, and inventory workflows.
- Understanding of performance metrics/KPIs.
- Social media or marketing experience.
- Interest in growing into a future leadership role within the clinic.
