Under the direction of the Provider(s) and Practice Manager, the Office Assistant performs all front office duties including answering the telephone, scheduling patient appointments, performing check-in and check-out functions, and maintaining patient medical records. Overview of Responsibilities:

  • Answers and triages incoming telephone calls/department voicemail, responds to questions, takes appropriate messages or transfers callers as appropriate.
  • Alerts clinical staff to patient arrival, including specific situations (i.e., late arrivals) via phone, intercom, or Teams.
  • Greets patients as they arrive and completes check-in process.
  • Observes waiting room patients and notifies appropriate personnel in the event of patient need or other situations requiring intervention.
  • Updates chart with copies of current insurance card and patient registration forms when necessary.
  • Verifies registration information and corrects as needed.
  • Keeps patients informed of delays and explains alternatives when possible.
  • Assists patients with billing questions as capable and refers complex problems to the Office Supervisor or other rehab management staff.
  • Manages incoming/outgoing mail, faxes, and other correspondence.
  • Sends waitlist and discharge letters per departmental policy.
  • Works assigned work queues and front office pool in Epic.
  • Makes evaluation charts.
  • Breaks down and works the completed evaluation charts.
  • Follows up with patients that cancelled or no-showed their appointment and documents telephone encounter in the medical record.
  • Cancels patient appointments and refers to schedulers for follow-up.
  • Prints next day schedule.
  • Opens and closes the department as assigned.
  • Manages the call light system and alerts staff as needed.

Education/Experience:

  • High school diploma or equivalent
  • Previous computer experience
  • Preferred: six months previous clerical experience with a general understanding of insurance, previous work experience in a medical-related position, and knowledge of medical terminology

Schedule Details: Day Shift. Monday - Thursday 9:30a - 6:00p. Friday 8:30a - 5:00
