Job Summary: Under general supervision of the Office Manager, the Office Assistant would handle a wide range of administrative and executive support related tasks and will need to be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and able to multi-task supporting several company divisions. The ability to interact with staff and visitors at all levels in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. The Office Assistant will also ensure the accuracy of scanning personnel and general ledger files into the system of record and maintain the utmost confidentiality in dealing with employee records and business information. Incumbent is expected to have excellent attendance and communication skills, possess the ability to build lasting business relationships, and exhibit professionalism. Essential Job Duties and Responsibilities: Assist the switchboard to cover all lunches and fill in when needed Daily scanning for various departments Other miscellaneous tasks such as letter writing and proofing, copying, and filing Assist with daily office functions Assist with various projects requiring attention to detail and knowledge of MS Office programs Assist with New Business Department as needed/special projects Knowledge, Skills and Abilities (KSAs): Comprehend and perform daily scanning activities with accuracy Work under multiple time constraints Operate office machinery and multi-line switchboard Knowledge of MS Office programs Education and Experience: High School Diploma or Equivalent Physical Demands: Ability to work in an office setting, use computer and office equipment for seven hours daily Must be able to effectively communicate in e-mail, by phone, or in person during the course of the workday Must be able to perform physical activities such as, but not limited to, sitting, standing, bending, twisting, climbing stairs, or walking Ability to lift ten pounds Qualifications
