YOUR MISSIONS

We are looking for a proactive and service-oriented Office Assistant to support the daily operations of our Luxembourg office. This role combines general office management duties with elements of event organization and HR support, offering a dynamic and varied work environment.

Responsibilities

Manage incoming and outgoing mail, including coordination with courier services such as DHL.
Oversee the cleanliness and tidiness of reception and common areas, ensuring a safe and welcoming work environment.
Manage meeting room bookings and ensure rooms are prepared (technology, materials, refreshments).
Order and manage office supplies, groceries, and lunches as needed.
Validate and upload vendor invoices, maintaining accuracy and timeliness.
Liaise with suppliers, service providers, the landlord, and the maintenance team to ensure smooth office operations.
Act as a point of contact for IT-related queries and coordinate with the IT team.
Collaborate with business services teams from other international offices (Marketing, Compliance, Finance, IT, etc.).
Maintain orderly filing systems and ensure accurate archiving of documents.
Assist in the onboarding and offboarding of employees, preparing materials and coordinating logistics.
Contribute to the planning and execution of internal office events and celebrations.
Provide day-to-day assistance to team members as needed.
