POSITION SUMMARY:

We are seeking a detail-oriented and proactive Administrative Assistant to join our team. This dual-role position supports both the finance and administrative departments by handling vendor payments, assisting with new Regional Center onboarding, and helping complete necessary documentation. The ideal candidate is organized, reliable, and comfortable working with multiple systems and tasks at once.

QUALIFICATIONS:

  • Previous experience in accounts payable, bookkeeping, or administrative roles.
  • Strong organizational and multitasking skills.
  • Proficient in Microsoft Office Suite and Google Workspace.
  • Comfortable learning and working within CRM and accounting platforms (e.g., QuickBooks).
  • Excellent written and verbal communication skills.
  • High attention to detail and ability to meet deadlines.
Responsibilities
  • Process invoices and ensure timely payment to vendors.
  • Maintain accurate records of all transactions and payments.
  • Track expenses and assist with monthly financial reporting.
  • Communicate with vendors and respond to payment inquiries.
  • Assist with onboarding new Regional Centers, including gathering documents, submitting applications, and maintaining status updates.
  • Complete Regional Center forms and ensure accuracy and timely submission.
  • Maintain organized digital filing systems for finance and administrative records.
  • Assist with general office support tasks including scanning, filing, data entry, and email correspondence.
