We are currently looking for one (1) Office Assistant who will provide administrative and logistical support to school staff, ensuring the smooth operation of the copy room, delivery systems, and textbook management. This role involves handling confidential materials, maintaining office equipment, tracking school supply inventory, and assisting with both internal and external communications.

KNOWLEDGE OF:

  • Understanding of general office procedures, including filing, data entry, and administrative support tasks.
  • Familiarity with effective verbal and written communication for interacting with diverse populations within the school community.
  • Basic knowledge of record-keeping practices and filing systems to organize student files and administrative documents efficiently.
  • Familiarity with common office software applications and basic computer skills for tasks such as email communication and data management.
Responsibilities
  • Coordinate the receipt, inspection, and distribution of textbooks, supplies, and deliveries.
  • Prepare outgoing shipments and maintain accurate shipping logs.
  • Assist with inventory tracking, restocking, and supply procurement.
  • Keep the copy room stocked and ensure equipment is in working order.
  • Operate copiers to produce instructional materials for faculty.
  • Format, resize, scan, and digitize documents for printing, distribution, or archiving.
  • Handle confidential documents with discretion and in accordance with privacy policies.
  • Create and update internal forms, signage, and communication materials.
  • Perform basic maintenance and troubleshooting on printers and copiers.
  • Receive, log, and distribute incoming packages and freight deliveries.
  • Maintain package records in Google Sheets and ensure timely delivery to staff.
  • Restock and organize copy room supplies to support smooth operations.
  • Schedule and coordinate pickups for outgoing mail and packages.
  • Provide administrative support to the business office, including invoicing and package tracking.
  • Process student textbook returns and withdrawals, ensuring all materials are accounted for.
  • Barcode textbooks and track inventory accurately.
  • Respond courteously to phone inquiries regarding textbooks, packages, and copy/printing requests.
  • Perform other related duties as assigned
