A front office associate serves as the first point of contact in greeting patients and visitors. Performs routine office work to assist clinical staff with Spravato duties. Answers telephone and schedules appointments. Demonstrates an understanding of, and embraces, the mission statement of Christian Health. Competencies: Scheduling & Coordination Greet patients and visitors with a smile and positive attitude upon entering which will create a welcoming and positive first impression. Accurately schedules Spravato treatment appointments in alignment with clinical staff availability and patient needs. Coordinates patient flow and ensures timely communication of schedule changes or cancellations. Insurance Verification & Authorization Conducts comprehensive insurance verification prior to treatment initiation. Determines patient eligibility and benefits for Spravato therapy. Accurately documents insurance details and updates records as needed. Prior Authorization Management Prepares and submits prior authorization requests for Spravato therapy to insurance providers. Tracks approval status and ensures timely renewals to prevent treatment interruption. Communicates with payers, providers, and patients regarding authorization status. Denial & Appeals Processing Reviews and identifies causes of insurance denials related to Spravato treatments. Prepares and submits appeal documentation with appropriate clinical and administrative support. Maintains a detailed log of denial and appeal outcomes for quality tracking. Medication Ordering & Inventory Tracking Orders Spravato medication in accordance with physician orders and treatment schedules. Tracks medication inventory to ensure adequate supply and prevent shortages. Verifies shipment accuracy and maintains secure storage records per regulatory requirements. Documentation & Data Management Accurately records all administrative and insurance-related activities on designated spreadsheets and logs. Maintains up-to-date records for patient authorizations, appointments, and medication usage. Provides regular reporting to clinical leadership regarding Spravato program metrics and process efficiency. Communication & Collaboration Collaborates with clinical staff, pharmacists, and billing departments to ensure seamless treatment coordination. Schedule: Part time, 9am-12pm Monday - Friday (flexible). Education: High school diploma or equivalent. Qualifications: One (1) year experience in Medical office. One (1) year experience in customer service. Proficiency in Microsoft Office (Outlook, Word and Excel) preferred.
