Tube One Industries, Inc. is a technology-driven manufacturer that produces a vast array of steel tubing on one of the world’s most advanced electric resistance welded tube mills in serving customers of various industries.
We are seeking an Office Clerk/ Administrative Assistant to oversee and expedite daily operations, generate quotes and sales orders, and compile and record data for management. This position also requires being highly proficient in the use of Excel, must be able to work with multiple sheets, creating and managing formulas and formatting to update, track, and monitor data.
REQUIRED SKILLS AND QUALIFICATIONS:
A bachelor’s degree in business with knowledge of QuickBooks
A minimum of 3 years of relevant experience (required)
A minimum 1-year QuickBooks knowledge and experience (required)
Solid working knowledge of MS Office programs (Word, Excel, Outlook)
Possess strong math and analytical skills
Proficient in typing with a minimum of 45 wpm
Communicate effectively through oral and written with strong problem-solving skills
Must have strong organizational skills and attention to detail
Ability to prioritize, multitask, and work well under tight deadlines
Must be reliable, dependable, and punctual
A self-motivated leader with a positive attitude who embraces teamwork
Provide quotes, sales orders, shipping, invoicing, and general customer service
Research and obtain up-to-date sales and marketing information
Maintain and develop solid customer relations and manage customer concerns with resolution
Coordinate shipping and receiving while oversee inventory control
Trace customer payments and collection
Process QuickBooks AP, AR, bank deposits and reconciliation
Assist with implementation of new software systems
Issue POs to vendors with follow-ups through final payments
Track and trace raw material progression and status
Input material composite data and generate certificates
Construct and update raw material reports and schedules
Delegate production orders and administer product quality control
Analyze maintenance data collection and create reports
Purchase office and warehouse supplies and equipment
Prepare and maintain personnel file system
Assist with new hires and conduct employment training
Complete personnel office forms
Collaborate and cover for colleagues when absent or unavailable
Conduct general office administrative work
Perform other duties or special projects as assigned
Assist other departments as needed
