Demonstrable experience in an administrative or office support role is essential.

  • Excellent verbal and written communication skills, with confidence interacting across all business levels.
  • Strong organisational skills with the ability to multitask and prioritise.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • A creative outlook and transferable experience of Canva is advantageous.
  • Ability to work independently and as part of a team.

  • Salary: £27,000 FTE
  • Hours: Monday to Friday, 10am - 2 pm (20 hours per week)

Responsibilities

ROLE PURPOSE

The Office Coordinator will play a key role in ensuring the smooth day-to-day operations of the Godalming office and will support key business functions. This role will support the wider team by managing administrative tasks, coordinating office activities, and maintaining a productive and welcoming work environment.
You’ll be the glue that holds things together — whether it’s ensuring health and safety compliance, streamlining communications, or ensuring smooth day-to-day office operations. Your attention to detail and ability to juggle multiple responsibilities will be critical to your success.

MAIN DUTIES / RESPONSIBILITIES

  • Act as the first point of contact by welcoming visitors, customers, and suppliers with professionalism and warmth, reflecting our values.
  • Manage the maintenance schedule for equipment and facilities and liaise with external service partners to ensure facilities are fully maintained.
  • Ensure office supplies stock levels are maintained.
  • Ensure the standards of meeting rooms and facilities are maintained.
  • Support onboarding and offboarding of employees, including desk setup access arrangements, building tours and equipment retrieval.
  • Assist with organising company events and meetings, and developing promotional materials as required.
  • Carry out general administrative duties as required.
  • Uphold and promote our values in every interaction.
  • Assist with ad-hoc projects and process improvements
  • Carry out health and safety checks, ensuring accurate recording and reporting any issues to the health and safety representative. Attend safety meetings.
  • Ensure strict adherence to health and safety standards within the office.
  • Support the company’s Giving Back to Community aspirations by building good relations with charity partners, coordinating events and encouraging participation.
