We are currently seeking a proactive and highly organized Office Coordinator to join our client’s team in St. John’s, NL on a permanent, full-time basis. This dynamic role is ideal for someone who thrives in a fast-paced, people-focused environment and takes pride in being the go-to person for keeping operations running smoothly. In addition to general office coordination, this role plays a key part in creating a welcoming front-desk presence and supporting a collaborative team.

EXPERIENCE & ATTRIBUTES FOR SUCCESS:

  • Post-secondary education in Business Administration, Office Administration, or a related field is preferred. An equivalent combination of education and relevant work experience will also be considered
  • 3+ years of experience in an office administration or coordinator role, ideally with exposure to office or operations management
  • Strong organizational and multitasking skills with keen attention to detail
  • Proficiency in Microsoft Office Suite and comfort working with digital tools and platforms
  • Excellent interpersonal and communication skills
  • A proactive mindset with the ability to take initiative and solve problems independently
  • Friendly, professional, and adaptable to a variety of tasks and team needs

Responsibilities
  • Act as the first point of contact at the front desk, greeting visitors and responding to phone and email inquiries with professionalism and warmth
  • Oversee daily office operations to ensure a well-organized, efficient, and productive workspace
  • Manage supply inventories, equipment maintenance, and office services
  • Assist with onboarding of new team members, including coordinating workspaces and access to systems
  • Support the leadership team with calendar management, meeting coordination, and correspondence
  • Maintain and organize physical and digital filing systems
  • Assist with the planning and coordination of staff events and internal communications
  • Perform general administrative duties such as drafting documents, preparing reports, and handling incoming inquiries
  • Ensure compliance with office policies and health & safety protocols
