Description Aspire Communications is seeking a friendly and organized Office Coordinator to join our rapidly growing team. This role is an in-office position and serves as the first impression to visitors, callers, and employees. The Office Coordinator will be responsible for managing the day-to-day functions of our office on the East Coast, assisting employees with office-related needs, and ensuring a smooth, well-stocked, and welcoming environment. Primary Responsibilities and Essential Functions Collaborate with HR and hiring managers to pre-screen job applicants, conduct initial interviews, and gather relevant candidate information. Help HR manager facilitate the onboarding process for new employees, ensuring they receive necessary training, complete paperwork, and have a smooth transition into the company. Help HR and field team with time card corrections and approvals as well as expense reports Assist in onboarding new subcontractors Act as the primary point of contact for East Coast calls and all incoming office calls. Route HR-related issues to the appropriate personnel, such at the HR Manager Coordinate travel arrangements for employees, including booking flights, accommodations, and transportation as needed. Maintain an organized inventory of office supplies, order replacements when needed, and ensure a well-stocked and efficient office environment. Oversee and manage credit card receipt collection and transactions for East Coast expenses. Schedule internal meetings, including preparation of agendas and minutes.
