Our family owned and operated food production company is seeking a kind, self-motivated person to join our administrative team. The ideal candidate has experience with typical office functions including customer service via phone and email, experience with invoicing and QuickBooks, excellent organization skills, and thrives in a dynamic environment. Love of food, sense of humor, and Spanish speaking are all a plus!

QUALIFICATIONS/ABILITIES

  • 2+ years administrative experience
  • Excellent customer service skills
  • Fluent computer skills; working knowledge of QuickBooks and Microsoft Office (Word, Excel, Outlook)
  • Strong written and verbal communication skills
  • Ability to perform basic accounting tasks
  • Outstanding organizational skills and attention to detail
  • Ability to perform job functions with minimal supervision

EDUCATION

  • High school diploma or equivalent
Responsibilities
  • Receive and direct office communications including phone calls, emails, faxes, and mail
  • Organize, scan, and distribute daily invoices and other important documents
  • Assist with creating and distributing materials for orders such as printing labels and confirming shipping details
  • Data entry and review
  • Communicate successfully with the production team regarding changes in customer orders and vendor deliveries
  • Assist Payroll with tracking PTO, reviewing time cards, and data entry
  • Help maintain up to date accounts receivable and accounts payable as needed
  • Assist with confidential HR tasks as needed; including new hire paperwork and tracking incident reports
  • Performs other related tasks as assigne
