The Office Coordinator provides administrative support to the Office Administrator. The Office Coordinator is responsible for performing a variety of administrative functions that are key to the operations of our office.
The Office Coordinator is a non-exempt, in-office administrative position. The Office Coordinator reports to the Office Administrator. There are no direct reports to this position. This role works a daily shift of 8 hours per day, equating to 40 hours per week. Additional hours (including overtime) are required on occasion.

Primary Duties and Responsibilities

  • Serve as the primary liaison for the Office Administrator with various departments.
  • Plan and execute the event planning for various departments.
  • Oversee the coordination of events in the office’s conference and meeting rooms, collaborating with the Facilities team on scheduling, refreshments, meals, and audiovisual setup.
  • Provide a welcoming experience to new hires while touring the office.
  • Collect I-9 documents for the Human Resources department.
  • Oversee and maintain the parking assignments for the office.
  • Interface and maintain positive relationships with the building’s maintenance team.
  • Assist and maintain the LPA assignment chart.
  • Assist the Summer Associate program and provide support with events as needed.
  • Verify and update timesheets as requested for bi-monthly payroll.
  • Generate the monthly credit card reconciliation report and review invoices for accuracy, while providing accurate general ledger coding.
  • Assist with the delivery of check requests within the office.
  • Provide additional administrative assistance to multiple departments when needed.
  • Collaborate with Conference Coordinator and production center staff.
  • Other duties and projects as assigned by the Office Administrator or attorneys.

Requirements

  • Minimum of two years of administrative support or legal industry experience, or the equivalent combination of education and experience; Batchelor’s degree preferred.
  • Excellent customer service and communication skills.
  • Possess basic proficiency in Microsoft Word, Excel, and Outlook.
  • Ability to handle multiple tasks simultaneously in a fast-paced environment and use resources efficiently.
  • Ability to communicate effectively, both written and orally.
  • Ability to think analytically, manage interruptions, and adapt easily to changing situations.
  • Demonstrate the ability to be detailed oriented, accurate and organized.
  • Familiarity with basic office equipment and procedures.
  • Ability to bend, stoop, and lift up to 25 pounds and move tables, chairs, and equipment.
