Description Summary: The Office Coordinator is responsible for the efficient operation of the office environment. This role involves a wide range of administrative and organizational tasks to ensure smooth daily operations. Office Management o Oversees general office operations, including supplies, equipment, and facilities. o Maintains office equipment. Organizes office equipment maintenance and repair requests. o Manages relationships with service-based vendors, such as phone system, printing, shredding, water and vending services. Responsible for scheduling services/meetings, requesting support, managing internal communication, needs and projects. o Orders, receives, and maintains office and kitchen supplies – including but not limited to first aid kits and medical supplies, toner and printer paper, kitchen supplies, and postage machine Communication o Handles inquiries – phone calls, voicemails, emails, e-faxes, and redirects as needed. o Acts as the primary point of contact for visitors. Greet guests and follow visitor policies and procedures in accordance with BRC standards. Administrative support o Manages incoming and outgoing mail, packages, and deliveries. Collects incoming mail daily from post office – open, stamp, and distribute internally. Drops off outgoing mail daily. o Run errands as needed. o Handles office correspondence, including emails, bulletin boards, HR platform communication postings. o Provides administrative assistance and support for sales and customer service, Human Resources, Finance, and Operations teams. o Assists leadership team with day-to-day tasks. o Assists with office budget management and expense tracking. Workplace culture and event coordination o Encourages workplace positivity. o Leads Workplace Happiness and Morale (WHAM) team to plan, oversee and execute employee morale-building events. Create and manage annual budget for WHAM committee. o Utilizes company HR software and employee newsletter to inspire employee engagement and increase communication. o Collaborates with HR leadership to develop and implement initiatives aimed at achieving and maintaining an Employer of Choice designation. o Plans and coordinates office events and meetings, including event logistics, like reservations, catering, and supplies. o Special projects as assigned. Education and/or Experience · High school diploma or general education degree (GED) required. · A minimum of one year of relevant office experience is required. Three years’ relevant office experience is preferred. Qualifications: · Experience with Microsoft Office, Excel and Word required · Ability to focus, maintain concentration, prioritize, and work on multiple tasks in a fast-paced environment Language Skills Ability to read and interpret documents such as service agreements, policies and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of employees of the organization. Mathematical Skills Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentages. Reasoning Ability Ability to apply common sense understanding to carry out written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Computer Skills To perform this job successfully, an individual should have experience and proficiency in Microsoft Office, including Word, Excel, and Outlook. Certificates, Licenses, Registrations Valid Michigan Driver's License is preferred.
