The Renert Centre is a hub for educational support for students in Calgary and across Canada via Zoom. We are located in Northwest Calgary on the Renert School Campus.
Bright Minds is our largest program and is an after-school and weekend tutoring program specializing in mathematics and English writing skills. We aim to help develop effective learners and creative thinkers for life. We run in-person classes in North West Calgary and online classes via Zoom. The Bright Minds program is unique and was developed by the founders of Renert School.The Renert Centre also offers online highschool math credit courses, online highschool math homework help sessions and Diploma exam preparation sessions for grade 12 students each semester. OVERVIEW
We are seeking a dedicated Office Manager to oversee the daily operations of the Renert Centre and Calgary Bright Minds. The position is focused on efficient and effective operations, being a strong lead for our administrative/sales team and providing positive interactions with our parent and student community. The nature of this position includes the opportunity for decision making, implementing changes, revising and creating new policies and practices and requires logical, analytical and managerial skills.
REQUIREMENTS:
- Experience in a managerial/supervisory role is essential
- Strong communication and interpersonal skills
- Including email, phone, face to face, on zoom
- Writing/editing skills (for revising parent communications, websites, office procedures).
- Proficiency in administrative tasks and computer skills
- Skillful with online office software (Google Sheets, Docs, Forms, Drive, Email, Zoom. Comparable experience accepted)
- Ability to lead and a team effectively
- Strong problem solving skills, very logical thinker as well as the ability to resolve conflicts with staff and customers.
- Reliable, hard working and not afraid of shouldering responsibility
- Exceptional organizational abilities
- Self starter, ability to work independently and as a team member.
- Outgoing personality and strong connection to kids -enjoy being around kids and working with parents.(Ideal but not required)
- Must be able to work August & September - our busiest months of the year.
- Hours: Be present while our classes are running during the school year: Minimum 11am - 6 pm or 12 - 7 pm (Monday to Friday). Working hours are more flexible in July/August. Opportunity for working remotely on occasion.

Responsibilities:
- Supervise and lead the Centre’s operations including most aspects in relation to our administrative, sales and teaching staff.
- Oversee in-person interactions with parents during class time and provide support to our front-end administrative staff.
- Work closely with all levels of management including the Director, Founders, Operations Manager, Math & English Team Leads, administrative and teaching staff.
- Coordinate HR tasks including hiring, scheduling, approval of payroll invoices as well as advocate for admin yearly staff remuneration.
- Oversee front desk and sales activities including, assessment bookings, registrations, customer service and periodic projects.
- Will expand to include training of new administrative staff in time.
- Organize and participate in special events including but not limited to town hall meetings, mass communications, trade shows, staff appreciations and parent surveys.
- Advise on and update websites as needed (training provided based on skill set), handle online account management, invoices, and logistics with external vendors.
- Facilitate all building spaces including, classrooms, scheduling of events, exams and assessments, and working with operations on custodial and maintenance of the building and office space.
