Join our team as an Office Coordinator at a Youth Residential Program in the Detroit area! This role is central to supporting both the dedicated staff and the teenage residents in our care. As the Office Coordinator, you will be the organizational hub of the residence. Your core duties will ensure efficient operations for a program committed to community improvement and resident growth. While the provided document is for a Youth Specialist, this administrative role would be crucial to supporting the program described. * Administrative Management: Maintain organized and compliant filing systems, manage office supplies, and handle all incoming and outgoing communications, including mail, email, and phone calls. * Documentation and Compliance: Assist in the maintenance and compilation of essential program documentation, which is crucial for meeting State of Michigan and Child Welfare Licensing requirements. This may include forms similar to those completed by direct care staff, such as Communication Logs, Petty Cash reports, and various administrative sheets. * Team Support: Provide comprehensive administrative support to the Resident Supervisor and other program staff, ensuring they have the resources needed to provide basic care, security, and safety for residents. * Scheduling and Logistics: Assist with scheduling appointments for residents and coordinating logistics for special events or activities, working closely with the staff who participate in planning and providing supervision. * Reporting: Assist staff in compiling and submitting necessary reports, such as incident reports for unusual behavior or maintenance requests for the physical plant, equipment, and vehicles. * First Impression: Serve as the primary point of contact for external visitors, professionals, and agency partners, maintaining a professional, cooperative, and positive approach. Qualifications * Education: A minimum of a High School Diploma or G.E.D. * Transportation: Reliable and ongoing transportation is a must, as you will be required to provide transportation to youth. * Michigan Driver's License: Must have a valid, unrestricted driver's license and an acceptable driving record. * Clearances: Satisfactory results on an MDHS Central Registry Clearance and State Police Record Check. * Health: Satisfactory physical exam within one year of hire and a negative TB test Required Skills and Experience: * Proven Organizational Skills: Demonstrated ability to manage multiple tasks, prioritize effectively, and maintain detailed, accurate records in a fast-paced environment. * Excellent Communication: Strong verbal and written communication skills for professional interaction with staff, external agencies (like MDHS), and the public. * Computer Proficiency: Skilled in standard office software (e.g., Microsoft Office Suite). * Experience: Previous experience in an administrative or office coordinator role is required. Experience in a human services field, especially a residential setting, is highly desirable. * Clearances: Must meet all State of Michigan Licensing Requirements, including satisfactory MDHS Central Registry Clearance and State Police Record Check.
