The purpose of an Office Coordinator is to ensure the smooth and efficient operation of an office by managing day-to-day administrative tasks, coordinating office activities, and providing support to staff, clients, visitors and contractors. This role serves as a central point of contact within the office, helping to maintain an organized, functional, and welcoming environment. The Office Coordinator helps assist in tasks such as scheduling, communication, office management, and ensure that all office systems and procedures are running effectively to support the overall productivity and success of the organization. Office Coordinator responsibilities are: Greet and welcome guests, vendors, visitors and contractors providing appropriate access to office space. Record and manage visitor license plates and parking requests/issues in the paid parking system. Answer the main switchboard, route calls, take messages, and monitor the general office number mailbox. Monitor security cameras and ensure the office space is ready for opening/closing each day. Keep the office tidy, presentable, and ensure all elements are functioning throughout the day. Schedule and log maintenance services, notifying staff of any disruptions to office workflow. Coordinate maintenance requests and repairs with in-house teams and outside vendors. Collect, sort, and distribute mail/packages, including local delivery to the Manufacturing and Distribution Center at least twice weekly. Process outgoing mail and manage mailing and shipping supplies. Inventory, purchase, and restock employee break room snacks and beverages, reconciling the IOU box monthly. Monitor consumer incidents, assign them to appropriate departments, and manage donations product inventory. Assist the Executive Assistant with benevolent activities, corporate events, and other light office tasks as needed. Requirements High School diploma or equivalent. Prior Receptionist, Front Office Representative, Office Coordinator, or similar experience preferred. Proficient with Microsoft Office Suite or related software Professional attitude, appearance, and exceptional customer service focus Strong written, verbal communication, and organizational skills with keen attention to detail Resourceful, adaptable, and proactive problem-solver with excellent multi-tasking and time-management abilities Dependability and consistency in attendance, performance, and discretion, maintaining a high degree of confidentiality. Ability to be respectful, approachable and team oriented while building strong working relationships within a positive work environment. Reliable transportation is required for work-related travel (mileage reimbursed).
