We are a high-tech company specializing in developing and manufacturing zirconia blank, hybrid ceramic, and other dental restoration materials. Through independent R&D, Upcera Dental America, Inc. has developed unique formulations to provide dental laboratories with cutting-edge dental materials.
We are seeking a highly skilled Office Coordinator to join our growing team.

REQUIRED QUALIFICATIONS:

  • Provide direct administrative support to the CEO, including scheduling, correspondence, reporting, and follow-up on priorities.
  • Manages reservations for lunches, dinners or catering meetings.
  • Attend meetings and take notes to prepare initial draft of minutes and summaries, manage appropriate follow-up for action items.
  • Assist with preparation of monthly reports, presentations, and other executive tasks.
  • Monitor daily office operations to ensure employees and managers are meeting deadlines and following established procedures.
  • Act as a communication bridge between the CEO and staff to relay instructions, updates, and performance expectations.
  • Track and follow up on assigned projects to ensure timely completion.
  • Coordinate meetings, maintain agendas, and record meeting notes with clear action items.
  • Support HR and operations in enforcing company policies and procedures.
  • Handle basic office management duties such as supplies, documentation, and vendor coordination.
  • Identify areas for process improvement and propose solutions to enhance efficiency.
  • Coordinate and communicate with building manager, arrange for maintenance and repairs, if needed.
  • Handling sensitive information with discretion.
  • Excellent communication skills, listening skills, presentation skills, and customer service.
  • Able to deliver information in a clear, well-structured, and compelling manner.
  • Capable of collaborating with team members as well as working independently.
  • Performs other duties as assigned or as may be necessary.

PREFERRED QUALIFICATIONS:

  • Bachelor’s degree or relevant industry experience in office administration or coordination.
  • Proven experience in an office coordinator, executive assistant, or similar role.
  • Strong organizational skills with the ability to manage multiple tasks and priorities.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to work independently with discretion, judgment, and initiative.
  • Strong interpersonal skills and the ability to hold others accountable professionally.
