Description

The Office Coordinator position is responsible for multiple administrative and partner support functions, such as managing software database and office management. The role also coordinates client projects, related tasks. This key support position relies heavily on proactivity, organization, time management, and strong interpersonal and computer skills.
RESPONSIBILITIES (50% Project Coordination; 50% Administrative/AR)
Project Coordination
· Partner with Project Managers on internal job coordination and pull through; pre and post job.

· Oversee permitting process and 811 platform

  • Document Management: Organizing and maintaining files, both physical and digital.
  • Maintaining daily job tickets in BOSS Scheduler

· Coordinate and communicate services related to irrigation
Administrative
· Communication Management: Handling phone calls, emails, and mail, both incoming and outgoing
· Serve as main point for CRM & Office phone
· Effectively utilize and maintain business operating system, BOSS.
· Reporting: Preparing and submitting reports as required

Accounts Receivable

  • Collections: Monitoring customer accounts for overdue payments, following up with customers through various methods (phone, email, etc.), and negotiating payment arrangements when necessary.
  • Customer Service: Responding to customer inquiries and resolving disputes related to invoices and payments.
  • Reporting and Analysis: Generating and analyzing reports, including aging reports, to track the status of receivables, identify trends, and provide insights to management for better decision-making.

JOB REQUIREMENTS AND QUALIFICATIONS

  • Minimum 3-5 years’ experience in an office support role or related work experience.
  • Proficient with Microsoft Office products, QuickBooks and other business management software systems.
    · Strong organizational and time management skills: Being able to prioritize tasks and manage multiple responsibilities effectively is crucial.
    · Excellent communication and interpersonal skills: The ability to communicate clearly and professionally, both verbally and in writing, is essential for interacting with colleagues, clients, and vendors
    · Attention to detail: Accuracy and attention to detail are important for tasks like data entry, record keeping, and scheduling.

· Adaptability and flexibility: The ability to adapt to changing priorities and handle unexpected situations is important.

  • Team player and ability to interact with employees at all levels of the organization.
  • Strong interpersonal, oral and written communication skills. Bilingual (English/Spanish) a plus.

Job Type: Full-time
Pay: $50,000.00 - $55,000.00 per year
