DESCRIPTION

The Office IT Manager shall help to provide state-of-the-art IT solutions for work and operations of all Aibidians on site and remotely. Mainly in Finland and particularly in the Helsinki office but in an advisory and coordinative way also for other Aibidia locations.
This includes provision and maintenance of hardware and internet access, maintenance and ongoing optimization of Aibidia’s M365 setup (incl. Exchange, SharePoint, Teams, etc.) and some other key tools (e.g. Slack), related information security matters (in close collaboration with our Infosec Lead), selection and management of external IT service providers, etc. Also the ongoing integration of internal IT tools based on concepts like SSO etc. will be increasingly important.

SKILLS, KNOWLEDGE AND EXPERTISE

  • 3-5 years of experience in a comparable role with at least partially end-to-end responsibility (not only as part of a team).
  • Deep general understanding of software and hardware in a modern, fast-changing office environment, including laptops, AV conferencing equipment and mobile devices.
  • Mastery of Windows operating system and M365 applications, with a strong focus on collaborative enterprise setup.
  • Multi-year exposure to external IT service providers in an enterprise customer role.
  • Experience with a highly efficient customer support setup, understanding related processes and tools.
  • Work experience in a small but fast-paced, successful and customer-centric technology or services company (can be a traditional business or a startup).
  • Strong understanding of contemporary information security requirements and challenges.
  • Ability and willingness to collaborate effectively with cross-functional teams (e.g., finance, product, and sales).
  • Excellent communication skills (English), with the ability to present complex technical matters in a clear, understandable and high-level manner.
  • Strong attention to detail and good analytical skills.
  • Intensive multi-year user experience with M365 applications.
  • Demonstrated career ambition and progress.
Responsibilities
  • Pre-selection of appropriate and cost-efficient laptop and MacBook models per operating country.
  • Provision of appropriate in-office workstation setup (monitors, docking stations, etc.) to allow for flexible seating policy (no fixed desks).
  • Specification of master image for Windows laptops and MacBooks.
  • 1st-level remote issue analysis and resolution. Otherwise, escalation to external service provider for deeper-level evaluation and fixing.
  • Maintenance, alignment, integration and ongoing improvement of M365 setup, including Exchange, SharePoint, Teams, Office, Copilot, etc.
  • Maintenance and permanent improvement of AV conferencing systems.
  • Ongoing monitoring and improvement of LAN and Wifi performance (e.g. by fine-tuning Wifi access point setup). Cooperation w/ internet service providers where needed.
  • Consideration of existing information security policies for all kinds of devices used for business purposes
  • Selection of and ongoing cooperation with external IT service providers.
  • Optimization of internal IT cost, M365 being 1 central focus.
