POSITION SUMMARY

Do you love creating a polished, welcoming space where everything just works? We’re looking for an organized, reliable, and people-savvy Office Manager & Executive Assistant to keep our Stratford office running like clockwork.
From restocking the coffee and coordinating meetings to keeping schedules in check and handling expense reports, you’ll play a vital role in supporting both our CEO and Hospitality Manager. This position will start as part-time, with the potential to grow into a full-time role as our needs evolve.

QUALIFICATIONS:

Required

  • Previous experience in an office management or executive assistant role.
  • Strong organizational and time management skills.
  • Strong organizational and multitasking skills with attention to detail.
  • High level of discretion and professionalism in handling sensitive information.
  • Proficiency in Google Workspace (Docs, Sheets, Gmail, Calendar).
  • Ability to work on-site in Stratford 4-5 days per week.
  • Ability to work independently and adapt to shifting priorities in a fast-paced environment.
  • Experience with expense tracking, vendor coordination, or similar administrative tasks.

Preferred

  • Familiarity with credit card reconciliation or basic financial administration.
  • Experience supporting hospitality, events, or guest-facing operations.
  • Comfortable communicating with external team members and external vendors.

Responsibilities
  • Office Administration & Coordination
  • Oversee the day-to-day operations of the Stratford office, maintaining a clean, organized, and professional environment.
  • Monitor and restock kitchen supplies, coffee, snacks, and other office essentials.
  • Coordinate with vendors or property managers for office maintenance and repairs.
  • Order meals and assist with logistics for internal meetings or guest visits.
  • Ensure the workspace remains tidy, professional, and guest-ready at all times.
  • Executive Support
  • Provide high-level administrative support to the Hospitality Manager and CEO, including calendar management, meeting and appointment coordination and confirmation, and travel arrangements.
  • Prepare, track, and reconcile credit card expenses and approvals.
  • Submit detailed expense reports and maintain organized digital records.
  • Support project coordination, basic research, or vendor communication as needed.
