Job Overview:
Responsible for the organization and coordination of office operations, procedures and resources to facilitate organizational effectiveness and efficiency. Works directly with field management team to ensure daily, weekly and monthly reporting is completed and distributed effectively. Supports the field staff in tracking certified payroll, regularly scheduled billing, and interacts with the procurement staff to ensure subcontracts and all project acquisitions are completed in a timely manner.

Responsibilities
  • Performs and monitors clerical, administrative and secretarial responsibilities and tasks.
  • Daily interactions with the field management team.
  • Daily interactions with the corporate procurement team.
  • Daily interactions with subcontractors.
  • Coordinates office activities to ensure maximum efficiency.
  • Implements filing systems and ensure filing systems are maintained and current.
  • Monitors record keeping.
  • Ensures security and confidentiality of data.
  • Ensures office policies and procedures are being adhered to.
  • Implements procedural and policy changes to improve operational efficiency.
  • Prepares operational reports.
  • Monitors and maintains office supplies inventory.
  • Handles customer inquiries and complaints.
  • Reviews departmental time sheets.
  • Confers with and advises other management personnel regarding policies and procedures.
  • Keeps the Project Manager appraised of unique situations and problems encountered.
  • Performs related work as assigned.
