Responsibilities

Office Operations & Environment

  • Oversee the upkeep of meeting rooms, plants, desks, and communal spaces to ensure a professional, inviting environment for employees and visitors.
  • Manage relationships with external vendors (e.g., cleaning company, benefits providers etc.), ensuring quality standards are consistently met.
  • Coordinate benefit contracts and other workplace services.
  • Proactively identify and resolve office needs before they become issues.

Supplies & Equipment

  • Maintain and stock office supplies, kitchens, and fridges (e.g., breakfast, fruits, cereals, drinks).
  • Oversee equipment and IT-related needs (laptops, phones, tools, SIM cards), including ordering, setup, and troubleshooting.
  • Manage Amazon and other office supply orders, keeping an updated list to anticipate needs.
  • Monitor and manage company merchandise inventory, ensuring timely reorders.

On/Offboarding & Employee Support

  • Welcome new joiners on their first day: prepare desks, set up IT accounts, provide office tours, and ensure all equipment and supplies are ready.
  • Be the go-to contact for office-related questions and help employees settle in quickly.
  • Support onboarding and offboarding through preparation of materials and collaboration with the People Team.

Events & Culture

  • Plan and coordinate company events, team activities, and celebrations (e.g., birthdays, ad hoc gatherings, larger team events), supported by a forward-looking events calendar.
  • Support office community initiatives, ensuring the workplace feels collaborative, engaging, and aligned with company culture.
