Description:
Dawson Co-op invites applications for the position of Office Manager to join our team at our Administrative Office located in Dawson Creek, British Columbia.
Reporting to the Controller, the Office Manager is responsible for the oversight of the front-end administrative office, including the management and administration of accounts payable, accounts receivable, member relations, tax submissions and claims, credit management, and collections.
QUALIFICATIONS
- Post-secondary education in Business Administration, Finance, Accounting or another related field is required
- Chartered Professional Accountant (“CPA”) or Certified Professional Bookkeeper (“CPB”) designation is an asset
- Advanced knowledge of excel formulas and functions is required
- 1-3 years of previous supervisory experience
- Strong communication and relationship management skills
- Valid Class Five driver’s licence with a clean abstract
- Ability to undergo and receive clearance for a criminal record check
- Satisfactory credit report / history
Compensation:
- Between $56,630.00 and $84,945.00 based on qualifications & experience

Responsibilities:
- Lead the front-office administration team and the day-to-day operations of the front-office
- Oversee accounts payable staff and functions, addressing issues with vendors and ensuring invoices are paid in a timely and effective manner
- Oversee accounts receivable staff and functions, providing support to resolve customer issues in a timely and effective manner
- Lead the credit management function by reviewing and approving credit applications, administering credit limit changes, overdue account management, and collections
- Act as the primary liaison on any account matters sent to legal or collections and maintain regular reporting on legal matters
- Oversee the management of overdue accounts, including regularly reviewing overdue accounts, authorizing account cut-offs, recommending interest write-offs, and supporting follow-up for large accounts
- Ensure customer service expectations are upheld at all times and be proactive to prevent & resolve issues to maintain positive member relations
- Oversee and enforce approved financial controls and processes within the front-end office, including procedures for cash counting, cheque cashing, loss prevention, and data management
- Administer the submission of all claims, invoices, tax filings, and other regulatory filings in a timely and accurate manner
- Review and recommend policy and procedure for effective and efficient front-office functions
- Authorize daily cash counts and sales reconciliations
- Maintain the confidentiality of financial information at all times
- Be responsible for the daily movement and balances of cash in various accounts
- Oversee the maintenance of vendor payable files, AR payment files, and payments
- Oversee and maintain the GL code structure (adding / deleting as required)
- Maintain a deep understanding of current accounting principles and recordkeeping requirements
- Oversee the performance management, training, and development of staff
- Act as the primary liaison between the front-end office and the finance department, ensuring regular and effective communication
- Adhere to and enforce all Dawson Co-operative Union policies and procedures
- Plan for self-development and take initiative to improve own knowledge, skills and abilities
- Other duties as assigned
