JOB OVERVIEW

We are seeking a dedicated and detail-oriented Office Manager to oversee the daily operations of our Naturopathic Wellness Clinic. The ideal candidate will bring strong organizational skills, exceptional customer service abilities, and experience in a clinic or healthcare setting. This role is vital in ensuring smooth administrative processes, managing accounts, and providing outstanding support to both staff and clients in a welcoming and holistic environment.

QUALIFICATIONS:

  • Proven experience as an Office Manager or in a similar administrative role, preferably in a naturopathic, dental, or medical office setting.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent customer service skills with a friendly and empathetic demeanor.
  • Proficient in clerical duties and comfortable using computerized systems, including Google Suite and Jane App.
  • Experience with accounts receivable and extended health direct billing is an asset.
  • Attention to detail, particularly in proofreading and maintaining accurate records.
  • Ability to manage inventory and supply orders efficiently.
  • Ability to work collaboratively within a team environment while also being self-motivated.
  • Experience in a clinic setting is an asset.

  • Coordinate office schedules, appointments, and meetings efficiently to optimize clinic operations.
  • Maintain an organized and professional workspace while ensuring compliance with clinic policies.
  • Proofread documents for accuracy and clarity before distribution.
  • Utilize Google Suite, Jane App, and other computerized systems to streamline office functions.
  • Collaborate with naturopathic practitioners and staff to enhance workflow and improve patient experiences.
  • Manage accounts receivable, including invoicing and payment tracking.
  • Handle extended health direct billing processes for patients.
  • Oversee inventory management, including tracking supplies and placing orders as needed.
