KEY SKILLS AND EXPERIENCE:

  • Bachelor’s degree in Human Resources, Business Administration, or related fields.
  • 10+ years’ office administration experience.
  • Experience managing relationships with external vendors, particularly IT service providers.
  • Proven experience in internal communications and event planning and execution.
  • Prior military services experience would be an asset.
  • Strong working knowledge of European immigration rules and visa processes would be an asset.
  • Global Mobility experience will be highly regarded.
  • Excellent communication and organizational skills.
  • Ability to work cross-functionally and manage multiple stakeholders in a dynamic environment.
  • Proven ability to handle sensitive and confidential information with discretion.
  • Familiarity with GDPR and data privacy is a plus.
  • Multilingual proficiency (especially in any European languages) is a plus.

Responsibilities

THE ROLE

Trindent Consulting Ltd. is seeking a highly organized and detail-oriented Office Manager to join our team. The Office Manager will play a key role in driving back-office and administrative efficiency to support a rapidly growing organization.
Reporting to the Human Resources Director, the Office Manager will be responsible for the overall administration of our Dublin office, including office management, event planning and execution, internal communications, and coordination with internal and external IT and security teams. The successful candidate will also work closely with our Operations team to provide seamless Global Mobility support and help manage international employee mobility processes, ensuring compliance with immigration laws in Europe.

KEY RESPONSIBILITIES:

  • Provide exceptional customer service to all staff, visitors, and guests.
  • Maintain general orderliness and cleanliness of the office and building premises.
  • Perform administrative duties such as answering phone calls, maintaining vendor agreements/ records, and updating records.
  • Maintain and order general office supplies including kitchen, stationary, and tech items.
  • New employee onboarding.
  • Plan and execute monthly and annual company events as required.
  • Administer IT inventory (laptops, mobile phones).
  • Coordinate with internal IT and security teams to ensure data integrity, access control, and GDPR compliance.
  • Support end-to-end mobility processes for international employee assignments, relocations, and business travel across Europe.
  • Assist the Human Resources Director on matters related to European travel regulations, including but not limited to Schengen visa rules, work permits, residence permits, and other immigration documentation.
  • Liaise with immigration lawyers, government bodies, and relocation vendors to ensure timely processing of visas and permits.
  • Ensure global mobility practices comply with European labour, tax, and immigration regulations.
