POSITION OVERVIEW

As an Office Manager at efficy, you are more than the heartbeat of the office, you are
a key enabler of our people experience. You ensure our spaces are welcoming,
functional, and inspiring, while also acting as a local ambassador for our People
Experience strategy. You’ll balance hands-on operational responsibilities with
proactive contributions to employee engagement, onboarding, and sustainability.

People experience

  • Lead onboarding and offboarding experiences, including goodies managementand welcome rituals.
  • Be the go-to person for office-related employee queries.
  • Act as DEX (Digital Employee Experience) ambassador and event coordinator.Provide logistic help on every activity: groceries, communicate effectively,send reminders.
  • Own the office site in the Intranet: keep the site updated with key office info,you publish articles of social activities, news from the office and you managethe photo’s folder.
  • Organize and support global and local events in your office.
  • Manage e-cards to celebrate work anniversaries and foster connection.
  • Manage the email box reception@efficy.com for your office-related topics.
  • Take pictures, recording, all activities that happen in the office. Take initiative
Responsibilities

Office environment

  • Manage entrance and access systems, ensuring a secure and smoothexperience for employees and visitors (e.g.,parking, WelcomR).
  • Coordinate with suppliers and contractors for office maintenance and services.
  • Oversee kitchen routines (dishwashers, coffee machine, etc).
  • Maintain a pleasant and engaging office atmosphere, including games,decorations, and branding.
  • Handle mail, packages, and recycling processes.
  • Organize and maintain safety and first-aid training.
  • Coordinate the cleaning of the office.

People experience

Sustainability

  • Collect and report data for carbon footprint tracking and sustainabilityinitiatives.
  • Support local implementation of ESG-related actions and awareness.

Operations support

  • Assist with travel bookings and ensure policy compliance via TravelPerk
  • Coordinate employee car drop-off and pick-up.
