As the Office Manager, you are the essential heartbeat of Engrain’s headquarters. Working closely with the HR team, you will act as the face of the company, ensuring every guest and employee has a seamless experience from the moment they walk through our doors. We are looking for an administrative pro who thrives on organization, anticipates needs before they arise, and takes pride in maintaining a high-performance environment. You’ll collaborate across all departments to solve logistical puzzles, manage essential facilities, and keep our office logistics running like a well-oiled machine. What you’ll do... Manage professional office operations: Maintain the cleanliness and organization of kitchens and common areas, managing everything from dishwasher cycles to coffee machine maintenance Direct reception & communication: Serve as the primary point of contact for visitors and the main phone line, while efficiently routing mail and packages to the correct teams Inventory & procurement: Proactively monitor inventory and order all office, kitchen, and cleaning supplies through vendors like Aramark and Amazon Expense tracking: Ensure all office-related expenses are tracked and recorded Maintain facilities & security: Manage physical office access via Brivo systems and act as the liaison for building management and work orders Facilitate onboarding & logistics: Coordinate the physical setup of workspaces for new hires, ensuring all equipment is ready and access cards are issued prior to their first day Support office safety & readiness: Act as the office fire warden and ensure workplace safety protocols are always met Requirements What you offer us... 1-3 years of relevant experience in office management or high-level administrative support AI literacy & proficiency: Comfortability using Generative AI (LLMs), AI assistants, and automation platforms to enhance personal and team productivity. Comfortable with supervising AI-generated outputs, ensuring accuracy in reports, communications, and logistical planning. Exceptional organizational skills with the ability to manage repetitive daily tasks as well as longer term initiatives. Technical proficiency in Google Workspace (Gmail, Calendar, Sheets), Zoom phone systems, and basic office tech troubleshooting Resourcefulness and initiative to develop and document office procedures that improve overall workplace efficiency Excellent communication skills - verbal and written You have a can-do attitude and are a natural problem-solver when interacting with vendors, clients, and employees What we offer you... Salary Disclosure for Colorado: The anticipated annual salary range for this position is $60,000 - $75,000, with final compensation dependent on a variety of factors like experience, certifications and skill set.
