JOB SUMMARY

We are seeking a responsible, organized, and proactive Office Manager to join our growing fulfillment and logistics team. This role is perfect for a current Santa Clara University student or recent graduate looking to gain hands-on experience in office operations, logistics coordination, and inventory systems. You will play a pivotal role in ensuring our distribution center operates smoothly through both administrative oversight and light operational support.
This is an on-site position at our Santa Clara location, ideal for students looking for part-time or flexible work near campus.

QUALIFICATIONS

  • Bachelor’s degree in progress or completed (Business, Supply Chain, or related field preferred)
  • Strong organizational and communication skills
  • Proficiency in Google Workspace (Docs, Sheets, Gmail)
  • Detail-oriented and proactive problem solver
  • Ability to work independently with a high level of responsibility
  • Familiarity with warehouse or logistics operations is a plus, but not required
  • Mandarin Chinese language skills are a plus, but not required
Responsibilities
  • Manage daily office operations including inventory tracking, customer communication, and logistics coordination
  • Assist in organizing fulfillment processes and communicating with warehouse staff
  • Maintain and update inventory records in spreadsheets or systems (training provided)
  • Coordinate incoming and outgoing shipments, including preparing documents and scheduling pickups
  • Support leadership with administrative tasks, scheduling, reporting, and process optimization
  • Ensure the office and workspace remain clean, professional, and well-organized
  • Occasionally assist in light warehouse tasks (labeling, sorting, scanning) to understand the full workflow
  • Contribute to improving overall workflow and customer service experience
