Job Description
The Office Manager is responsible for managing the overall administrative, operational, and support functions of the home health care and ambulance services office. This position plays a key role in ensuring seamless coordination between clinical teams, operations, HR, and management while maintaining compliance with UAE laws, healthcare regulations, and internal policies. The Office Manager acts as the central point of communication and ensures efficient utilization of resources to support the delivery of high-quality healthcare and emergency medical services.
2. Key Responsibilities
A. Office & Administrative Management
Supervise daily office operations and administrative staff to ensure smooth workflows.
Maintain accurate filing systems (digital and physical) for company documents, staff files, and patient records.
Oversee procurement and inventory management of office and medical supplies.
Manage contracts, renewals, and vendor/supplier relationships.
B. Operational Support
Coordinate daily scheduling for ambulance dispatch and home health care visits.
Ensure proper documentation of patient care plans, progress notes, and medical reports.
Monitor and update vehicle-related records (registration, insurance, maintenance schedules, mileage logs).
Support operations team in rostering staff shifts, monitoring attendance, and leave records.
C. Compliance & Quality Assurance
Ensure compliance with UAE healthcare authorities (DCAS/DOH/DHA/MOH) regulations.
Maintain readiness for inspections, audits, and license renewals.
Support quality assurance programs, including incident reporting, corrective action plans, and continuous improvement initiatives.
Prepare and maintain monthly/quarterly reports for management and regulatory bodies.
D. Finance & Reporting
Handle petty cash management and ensure timely expense settlements.
Support finance department with billing, collections, and payment tracking.
Prepare operational and administrative cost reports for management review.
Assist with budget planning and cost control measures.
E. Communication & Team Coordination
Act as the primary communication link between management, clinical staff, and external stakeholders.
Address patient/client inquiries and complaints promptly and professionally.
Organize and document management/departmental meetings including agenda, minutes, and follow-ups.
Support HR is admin tasks
3. Qualifications
Bachelor’s degree in Business Administration, Healthcare Management, or a related discipline.
3–5 years of proven experience in office management or healthcare administration (ambulance/home health care experience preferred).
Knowledge of UAE healthcare regulations and licensing requirements.
Proficiency in MS Office applications and healthcare/ERP software.
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills in English (Arabic is an advantage).
