REQUIREMENTS

  • Bachelor’s degree in Business Administration, Finance, or a related field.
  • Minimum of 3 years of administrative support or office management experience.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines.
  • High attention to detail and accuracy.
  • Ability to work both independently and as part of a team in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

PREFERRED QUALIFICATIONS

Responsibilities

ABOUT THE ROLE

We are seeking a motivated and detail-oriented Office Manager / Executive Assistant to join a leading company in the financial services sector. This role is key in managing day-to-day office operations, providing high-level administrative support, and ensuring strong relationships with both internal teams and external stakeholders.

KEY RESPONSIBILITIES

  • Act as the main liaison with the landlord for facilities and space-related matters.
  • Coordinate schedules for internal teams and visiting field leaders.
  • Conduct tours of the facility and departments for visiting executives.
  • Professionally handle calls and visits from the field, anticipating needs and providing solutions.
  • Lead the Safety Team in conjunction with Human Resources and serve as liaison for worker associations.
  • Arrange travel and process expense reports for the President of WFG Canada and other executives.
  • Manage office supplies and coordinate catering for meetings and events.
  • Oversee internal moves and workspace allocations.
  • Provide regular updates to the management team on location-specific issues and events.
  • Maintain confidential files and handle sensitive information with discretion.
  • Develop and implement new administrative processes to improve efficiency.
  • Keep reception and lobby areas organized.
  • Process incoming mail and respond to product provider inquiries regarding branch office verifications.
  • Send statements, agent recodes, and licensing documents to authorized recipients as needed.
