JOB SUMMARY

We are seeking a highly organized and proactive Office Manager to oversee the daily accounting and administrative responsibilities of the regional office. The ideal candidate will possess strong leadership skills, exceptional communication abilities, and a comprehensive understanding of office management practices. This professional will oversee account management consistent of accounts receivable, setting up new customer accounts, logging complaints, file maintenance and checking franchise reports. This role requires a detail-oriented individual who can effectively manage schedules, support staff, and ensure the smooth functioning of office activities.

EXPERIENCE

Candidates should have 2+ years of prior experience in office management or a similar administrative role. A background in medical office management is preferred but not required. Key skills include:

  • Proficiency in financial tracking and reporting.
  • Strong organizational skills to manage multiple tasks effectively.
  • Excellent communication skills for interacting with staff, vendors, and clients.
  • Experience in supervising teams and managing schedules.
  • Familiarity with clerical tasks such as filing, data entry, and correspondence.
  • Knowledge of cash application (ACH, Credit Card Processing).
  • Understanding of billing and invoicing.
  • Experience in collections.

Responsibilities

RESPONSIBILITIES

  • Oversee daily office operations and ensure efficient workflow.
  • Manage scheduling and calendar coordination for team members.
  • Supervise administrative staff and facilitate training & development initiatives.
  • Handle vendor management and maintain positive relationships with suppliers.
  • Assist with human resources functions including payroll processing and employee onboarding.
  • Maintain accurate bookkeeping and budgeting records using CRM tools.
  • Plan and coordinate company events, meetings, and other activities.
  • Ensure compliance with office policies and procedures while maintaining a professional front desk environment.
  • Manage multi-line phone systems, providing excellent phone etiquette to all callers.
  • Organize filing systems and maintain documentation for easy retrieval.
