Your tasks

As part of our operations team, you ensure that our office is the best workplace for all of us. You are the person who makes sure everything runs smoothly and that everyone feels comfortable.

1. ☕️ Create a pleasant atmosphere in the office. You make our office a place where people enjoy working. You take care of everything we need (from coffee to new laptops), manage our bookshelf, keep our equipment in good working order, and keep track of maintenance appointments (heating, fire extinguishers, key systems, etc.).

2. Communicate & coordinate: You are our contact person for cleaning staff, tradespeople, and the property management. You accept deliveries or arrange for someone to be there to do so.

3. Supporting the operations team and management : You lend a hand wherever needed: with preparatory accounting, communication with customers and authorities, and much more.

4. ☀️ Bringing the team together Whether it's the summer party, Christmas dinner, or a spontaneous team event: you're the person who coordinates everything. You plan joint activities, support the logistics of our team trips at home and abroad, and ensure that special occasions don't get overlooked, for example, when someone in our team gets married and a gift is needed.

  • You are a talented organizer and maintain an overview even when several things are happening at the same time.
  • You work independently, think proactively and tackle things pragmatically – even when something is outside your job description.
  • You enjoy communicating with colleagues as well as with tradespeople, service providers or authorities, and on an equal footing.
  • You work carefully and reliably, especially in areas such as accounting, maintenance, or scheduling, where accuracy is crucial.
  • You enjoy helping to create a pleasant working environment and bringing people together.
  • You speak and write fluently in German and English .
  • Experience in office management, assistance, hospitality or a similar field is definitely a plus – but not a must if you have the mindset and the desire.
