Description

The Office Manager oversees the daily administrative operations of multiple office sites, ensuring consistent procedures, compliance, and efficiency across all locations. This role provides leadership, supervision, and support to office staff, coordinates workflow, and manages office logistics including inventory, vendor relations, and facility needs. The Office Manager ensures smooth office operations through effective planning, problem-solving, and direct oversight, while collaborating closely with program leadership to maintain a productive, organized, and client-centered environment. Regular travel between sites is required to provide hands-on management and support.

QUALIFICATIONS / SKILLS:

· High school diploma, GED, or equivalent required
· Two to three years of experience in an office management role, preferably overseeing multiple locations
· Proficiency with office software and technology
· Valid driver’s license and acceptable driving record required
· Supply and inventory management
· Multi-site office coordination
· Budget tracking and financial oversight
· Delegation, supervision, and coaching
· Administrative process development and improvement
· Vendor and facility management
· IT troubleshooting coordination
· Strong communication and leadership skills

PHYSICAL REQUIREMENTS:

Responsibilities

· Supports multi-site company operations by maintaining office systems, supervising staff, and ensuring consistent practices across all locations.
· Organizes office operations and procedures; oversees payroll, correspondence, filing systems, and clerical functions.
· Manages office logistics including inventory control, vendor coordination, supply procurement, and facility maintenance across sites.
· Ensures adherence to office policies, administrative procedures, and security measures at each location.
· Coordinates with IT to troubleshoot office technology issues (computers, printers, phone systems) across all offices.
· Defines procedures for retention, protection, retrieval, transfer, and disposal of records.
· Completes operational requirements by scheduling and assigning employees; following up on work results and providing coaching and corrective actions as needed.
· Develops and implements office policies and processes, monitoring performance and making improvements to enhance efficiency.
· Prepares budgets, tracks expenditures, analyzes variances, and initiates corrective actions to meet financial goals.
· Develops training materials, templates, and how-to guides; facilitates training and policy rollouts.
· Travels between office sites to oversee operations, provide support, and address site-specific needs.
· Supports special projects and events; assists with placements and communication needs as required.
· Stays current with ORR policies, MAPS, and Field Guidance, ensuring office operations remain compliant.
· Ensures all offices are audit-ready and in full compliance with agency standards, state and federal regulations, and are prepared for unannounced visits.
· Weekly review of UC Policy, MAPs, and Field Guidances.
· Participate in weekly, monthly team meetings.
· Create, update, and review departmental policies and provide training to children, staff, and resource parents as needed.
· Translate documents as needed.
· Participate in ORR audits and CAP responses.
· Provide coverage for other departmental leads as needed.
· Participate in intake rotation to complete after-hours intakes and prepare intake packets.
· Provide data for weekly, monthly, quarterly and annual reports.
· Participate in monthly supervision with supervisor.
· Participate in weekly meetings with management.
· Complete all required training.
· Provide services as needed evenings, weekends, and holiday.
· Assist in other departments as needed.
· Assist with various duties across departments, including but not limited to, food preparation, transportation, field trip assistance, office organization, donation sorting, decorating, office maintenance, and food safety compliance.
· Occasional travel to community facilities, sister facilities, other community services, or agency events.
· Facilitate weekly check-ins with team and submit weekly check-in notes.
· Monitor ORR TKPI and scoreboard for compliance.
· Elevate staff concerns to supervisor in a timely manner.
· Coordinate communication with RPs, sponsors, teachers, TPG, and other departments and stakeholders as needed.
· Audit UC binder, data analysis, and UC Portal concurrently prior to UC discharge. Ensure full audit of UC portal prior to discharge and full audit of UC binder and data analysis chart within 5 days of release.
· Keep File Spreadsheets and Data Analysis up to date.
· Audit Extended Reach for each minor’s file.
· Supervise daily tasks and attendance of your department.
· Maintain 24/7 availability expectations, responding only as needed per case requirements.
· Ensure accurate and timely submission of all case-related documentation to ORR, CCL, CPS, LE or other stakeholders.
