Description

Higginson Consulting (HC) is seeking to expand our team and requires the skills of a competent office manager. Through our desire to deliver a high level of service – we focus on innovative solutions for a diverse range of commercial, institutional, and residential clients across North America.
Our firm specializes in structural engineering for wood and steel framed projects constructed in situ, or fabricated off site and transited to the installation site. Our work includes modular, manufactured products, residential components, shop fabrication, and traditional engineering disciplines.
Your work may include support for all divisions of the company - residential construction, work at height/fall protection, adventure tourism, or remote projects.

YOUR OPPORTUNITY:

Higginson Consulting (https://higginsonconsulting.ca/) is expanding our team and requires a highly motivated, skilled office manager to join our team. This position requires high attention to detail and organization, quick learning, and a desire to work in a fast-paced environment. You will have a keen interest in performing your job to a high degree of professionalism, but not take life too seriously – as no two days will be the same. REMUNERATION & TIME REQUIREMENTS

This position is full time and based out of our Cobble Hill office. Generally working hours will be Monday to Friday, daytime; however, if you have scheduled staff or crews working after hours then you must be available to support unforeseen circumstances (flight cancellations, rental car issues, etc.) as needed.
Wages for this position are between $55,000 - $65,000 annually and upon completion of the hourly probationary period you will be converted to a salary position and enrolled in the company benefits plan.

SKILLS, KNOWLEDGE, QUALIFICATION & EXPERIENCE REQUIREMENTS

· High school diploma with additional training in office management / administration
· Post-secondary education an asset, but not required.
· 5 - 10 years experience in an office environment
· Proficiency with MS Office – in particular Outlook, Word, and Excel
· Proficiency with CRM or ERP software an asset
· Proficiency with budgeting and financial management
· Ability to assume responsibility and to interface and communicate effectively with others.
· Effective oral and written communication skills and the ability to represent the company and project team in a professional manner.
· Well-organized, detail-oriented and self-motivated; ability to prioritize and complete tasks
· Must have a willingness to achieve project goals and an interest in learning.
· Experience planning and coordinating events, or travel logistics experience an asset

    · Office Management: perform all duties as would typically be required of an office manager – ensuring logistics and scheduling is up to date, multi-jurisdictional requirements are met (Canada and USA), office needs are current (utilities/rents/vehicle insurances), as well as management level administrative duties for the office including, but not limited to, document control, calendar management, email management, typing, filing, scanning, communication with suppliers, subcontractors, clients, greeting visitors, scheduling couriers, accepting packages and checking the mail daily.
    · Project Logistics Management: Maintaining currency of project scheduling so staff can forecast work plans. Scheduling field reviews, site visits and inspections. Coordinating logistics for each field review, site visit or inspections (including materials, tools, travel arrangements, etc). Updating company software with site specific information and assigning tasks to staff. Communicate with service providers to ensure company is receiving best value for services rendered.
    · Routine Project Management: Maintain an organized email inbox for routine projects and assign work tasks based on information received. Perform manager level review of work tasks and ensure time recording and billing is current. Communicate with customers as required to maintain delivery schedules.
    · Perform additional assignments and undertake responsibilities as requested, have fun, and maintain an organized work environment for yourself and others.
    · This position requires a high level of organization. It is a fast-paced position with a high volume of small but important details. Ability to always maintain competency and organization while processing detail is critical.
