Description

CMT Services Group is looking for a full-time Administrative Assistant/Office Assistant. This position supplies administrative support to the project management team and facilitates the office coordination for multiple construction and engineering projects. You will be empowered to grow, take charge and to make an impact, and will be provided with excellent benefits and development opportunities. Our beloved office manager is retiring and we are in a search to find her successor.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  1. High School diploma (or equivalent). Associates Degree preferred
  2. Ability to effectively and tactfully communicate with a wide variety of individuals in person, via telephone and in writing. Excellent customer relations skills.
  3. Demonstrated commitment to ethics and integrity
  4. Ability to work independently and resolve practical problems collaboratively, keeping all appropriate parties aware of issues.
  5. Ability to handle multiple projects and support administrative needs with minimum supervision is essential
  6. Strong verbal and written communication skills
  7. Extreme attention to detail
  8. Ability to work effectively under pressure and meet monthly deadlines
  9. 2+ years of experience in construction management, engineering, commercial general contracting, or related field is preferred
  10. Proficient in Microsoft Office 365, Adobe Pro or BlueBeam
  11. Familiarity with the software - Procore, Submittal Exchange, Plan Grid or E-Builder, ACC Build preferred but not required.

Responsibilities

Provide clerical/administrative support for project teams, including assisting with the distribution of required documents and correspondence, setting up, and creating/maintaining master filing systems, and insurance information, as well as HR tasks for new hire, payroll and insurance enrollment paperwork.
Maintain Distribution lists and prepare Owner-required reporting, as well as contract and insurance compliance documents
Perform and assist with other duties as assigned including answering the telephone, collection calls and emails etc.
Support field and office management with materials, copying, reporting, etc.
