About the role

As our Office Manager, you will play a key role in ensuring the smooth and efficient operation of the business. This is a varied, hands-on position where you will oversee office administration, support staff and management, coordinate client-related administrative activities, and ensure our systems and processes are operating effectively. You will be a central point of contact within the office and will suit someone who enjoys taking ownership, improving processes, supporting a busy team and keeping everything organised behind the scenes.

Key responsibilities

  • Managing the day-to-day operations of the office and ensuring administrative functions run efficiently.
  • Developing, implementing and improving office procedures, administrative systems and workflows.
  • Supporting management with operational projects and business initiatives.
  • Providing leadership and support across the administrative function.
  • Ensuring company policies and office procedures are consistently followed.
  • Creating a professional, welcoming and client-focused office environment.
  • Managing incoming telephone calls, emails and general enquiries and ensuring matters are appropriately actioned or escalated.
  • Coordinating client-related administrative activities and supporting the efficient progression of client matters.
  • Ensuring client files, records and documentation are accurately maintained.
  • Liaising with clients, medical providers, insurers and other external stakeholders.

About you

  • Previous experience in Office Management or Administration.
  • Excellent organisational and time-management skills.
  • Strong leadership and people management capabilities.
  • Excellent written and verbal communication skills.
  • A high level of customer service and relationship management skills.
  • The ability to prioritise competing tasks and meet deadlines.
  • Strong problem-solving skills and sound judgement.
  • Excellent attention to detail and accuracy.
  • The ability to handle confidential and sensitive information with discretion.
  • Intermediate to advanced Microsoft Office skills and confidence learning new systems.
