REQUIREMENTS

· Minimum 3-5 years experience in office and administration management.
· Experience of working in the insurance or pet industry environment is required.
· Strong experience in IT support and IT knowledge.
· Proficiency in MS Office, Outlook, Teams and SharePoint.
· Experience of building and developing strong working relationships with management teams.
· Experience leading, managing and motivating a team.
· Possess excellent communications skills, both verbal and written.
· Possess strong and demonstrable organisational skills.
· To be methodical, with a strong attention to detail.
· Possess an energetic, proactive and an enthusiastic attitude.
· Willingness to learn and adapt and encourages the same in others.
· Flexible, with ability to work on own initiative and co-operatively.
· Efficient multi-tasker, with excellent time management skills.
· Flexibility around working patterns is essential due to colleagues working in multiple time zones.
· Must be resident and entitled to work in Ireland at the time of application and hold either a European passport or Stamp 4 visa.

Responsibilities:

THE ROLE

Reporting to the Chief Operations Officer, this is a great opportunity for a skilled Office Manager to join our expanding team in Petcover’s Head Office in Ireland.
You will deliver high quality organisational support to all areas of the company, the CEO, COO and the Board, overseeing all aspects of administration, HR, H&S, procurement, facilities management and IT.
This is a busy role, with a wide span of diverse responsibilities, coordinating with colleagues in 4 different branches, operating under 3 time zones.

DUTIES AND RESPONSIBILITIES:

  • Ensure the smooth running of head office including Administration, Human Resources (HR), Health & Safety (H&S), Procurement, Facilities Management and IT.

· Provide support to the commercial and operations team to meet deadlines and market requirements.

  • Ensure a safe, secure, and well-maintained facility (including remote work as appropriate) that meets environmental, health, and security standards.
  • Monitor risks and report on their management.
  • Ensure the provision of IT kit & company systems access for all staff requirements.

· Recruiting, orienting and training new staff.
· Ensure accurate and timely updates to employee files and leave records.
· Maintain office results by coaching, supporting and supervising employees. Planning, monitoring and appraising job results.

· Support company operations by maintaining the company filing system OrganiseIT.

  • Act as the go-to person for organisational support when required.
  • Attend all required team meetings, trainings and effectively interact with different teams.
  • Undertake other areas of work where necessary or as requested by the CEO, COO and the Petcover global team.
