OVERVIEW

James P. Campbell & Sons Ltd are a family-owned company, established in 1920 who manufacture animal feed across central Scotland and are based in Kilmarnock. We are seeking an Office Manager to join us to support our production and sales team along with company directors.
You will play a key role in keeping our operations running smoothly. This role will work very closely with the company directors, assisting them in the day to day of the business. We are seeking a highly organised and proactive Office Manager to oversee our daily operations and ensure the smooth running of our office. The ideal candidate will possess strong leadership skills, a keen attention to detail, and the ability to manage multiple tasks efficiently. This role requires a blend of administrative expertise and interpersonal skills to foster a productive work environment.

EXPERIENCE

  • Proven experience in an office management role or similar position is essential.
  • Strong supervisory experience with the ability to lead a team effectively.
  • Previous clerical and administrative experience is advantageous.
  • Excellent communication skills with a focus on professional interaction.
  • Exceptional organisational skills with the ability to prioritise tasks effectively.
  • An interest in agriculture would be beneficial

Responsibilities
  • Manage day-to-day office operations, ensuring efficiency and effectiveness in all processes.
  • Supervise and support administrative staff, providing guidance and training as necessary.
  • Implement office policies and procedures to enhance productivity and organisation.
  • Oversea all compliance and quality control for the business
  • Facilitate effective communication within the team and with external suppliers, demonstrating excellent phone etiquette.
  • Responsible for accounts payable/receivable
  • Ensure that all items are invoiced and paid on time
  • Ensuring that all customers are invoiced accurately and on time
  • Manage admin of contracts, ensuring correct details of price and quantity etc with raw material suppliers, office vendors, service providers and any other relevant third parties
  • Taking orders from customers and ensuring that they are accurately placed and detailed so that other members of staff may fulfil the order requirements
  • Liaise with other members of staff who are in positions of management to ensure there is effective cooperation and communication between departments, especially sales manager & production manager
  • Take and place orders and deliveries for raw materials and any other products which are required for business activities when requested
  • Handle clerical duties such as filing, data entry, and correspondence management.
  • Liaise with facility management vendors, including but not limited to cleaning, IT Support Providers and security services
