We have an excellent opportunity for an experienced Office Manager / Team Assistant to join our team, supporting the smooth day-to-day running of the office and assisting the Executive Assistant in providing support to our Executive Leadership Team (ELT). You will serve as the primary point of contact for all aspects of office operations

Key position responsibilities include, but not limited to:

  • Primary point of contact for day-to-day office operations, including urgent meeting room enquiries and finding alternative spaces when needed
  • Coordinate building services and suppliers (maintenance, printer servicing, mail/courier, stationery), including sorting/distributing incoming mail to employees
  • Manage invoice payments and payment processing support, including setting up purchase order (PO) numbers for building suppliers
  • Maintain office standards and facilities: meeting room upkeep/cleanliness, overall office tidiness, and oversight of cleaning staff to required standards
  • Partner with building management (GPT) and internal stakeholders: attend monthly building meetings; support new starter induction (passes, car spaces, End of Trip lockers, starter packs, desk/chair coordination); maintain staff pass records; manage office layout changes
  • Deliver workplace experience and compliance support: monitor/order food, kitchen supplies, cupboards, and Kraft Heinz displays/products (prior to use-by dates); support Taste Hub; coordinate cultural/volunteering events, town halls and social events (including catering); monthly credit card reporting for Australia and New Zealand; oversee Fire Warden and First Aider coverage; office-based four days per week for daily operations coverage
  • Be a Team Assistant
  • Supporting the Executive Assistant as needed
  • Providing support to nine ELT members, including monthly expense processing, travel bookings including visa coordination if needed, calendar management, and meeting and agenda set-up
  • Attend monthly budget meetings, maintain budget reports, and provide monthly updates to the Executive Assistant
  • Opportunity to assume full ownership of support for individual ELT members
