As we continue to grow, we are seeking a dynamic and experienced Office Manager to lead our administrative operations and drive efficiency across our practice.

The Role

As our Office Manager, you will be the backbone of our daily operations, ensuring that the practice runs seamlessly while supporting our clinical team and leadership. This is a hands-on leadership role where you will take ownership of office systems, staff coordination, and compliance, while contributing to the strategic planning and continuous improvement of our services.

Key Responsibilities

  • Review and refine office policies, service standards, and workflow priorities to improve productivity and patient experience
  • Manage the allocation of staff, treatment rooms, and dental equipment to ensure efficient scheduling and optimal use of resources
  • Lead, mentor, and monitor the performance of reception and administrative staff, providing regular feedback and fostering a collaborative team culture
  • Oversee the practice’s financial operations, including accounts payable/receivable, payroll processing, and budget monitoring
  • Maintain accurate patient records, appointment systems, and administrative documentation in line with privacy regulations
  • Ensure all dental supplies, stationery, and office equipment are well-stocked and in good working order, coordinating repairs or replacements as needed
  • Champion workplace health and safety, with a focus on infection control protocols and OHS compliance specific to dental settings
  • Keep up to date with relevant legislation and government policies to ensure the practice remains fully compliant
  • Partner with the principal dentist and management on recruitment, onboarding, training, and staff development initiatives
  • Act as the primary liaison between clinical staff, patients, and external stakeholders to resolve day-to-day operational issues

About You

  • Proven experience as an Office Manager, Practice Manager, or Administration Manager – preferably in a dental, medical, or healthcare environment
  • Strong knowledge of office management systems, financial record-keeping, and compliance requirements
  • Excellent leadership, communication, and interpersonal skills
  • Ability to prioritise, delegate, and problem-solve in a fast-paced clinical setting
  • Familiarity with OHS regulations, employment legislation, and healthcare compliance standards
  • Proficiency in Microsoft Office Suite and practice management software is highly regarded
  • A proactive, organised, and detail-oriented approach to work
  • Qualifications equivalent to AQF Associate Degree, Advanced Diploma or Diploma; relevant experience may be considered in lieu of formal qualifications
